Overview

To ensure the provision of office administration and travel coordination services for AM Best’s Amsterdam office.

 

About the team and the office AM Best’s office is based in the finance district of Amsterdam and has a team of approximately 10 analytical staff who provide financial strength ratings to the insurance industry within the European market. There is a broad array of expertise and international background in the team who are supported by a wider business function in Amsterdam and London. The team also work closely with its other office in the US, Mexico, UK and Asia.

 

 

Responsibilities

What you will do

 

Office Administration

  • Oversee daily office operations to ensure a smooth and efficient work environment
  • Serve as the primary point of contact for internal teams and external vendors including managing the relationship with the building service provider
  • Manage office supplies, equipment, and maintenance needs
  • Organise and maintain digital and physical filing systems
  • Assist with preparing reports, presentations, and correspondence, as required
  • Support HR and Office Management activities such as onboarding new joiners and managing the health and safety requirements of the off
  • Coordinate meeting logistics, including room bookings and VC bookings
  • Handle incoming calls, emails, and general enquiries
  • Organise team events and manage associated social budget

 

Travel Coordination

  • Arrange domestic and international travel, including flights, accommodations, and ground transportation
  • Prepare detailed travel itineraries and ensure employees have necessary documentation including visas
  • Track travel expenses and reconcile invoices or expense reports
  • Adjust travel arrangements and provide real-time support when plans change

Skills

  • Experience of researching and booking travel through both an agency and directly
  • Diary management experience, scheduling meetings, drafting correspondence, handling telephone calls
  • Dutch language is required
  • Excellent written and verbal communication skills in English
  • Proficiency in office software / Microsoft office suite (word, ppt, excel)

 

Note: The role is based on a full time basis (35 hrs, 5 days a week) We are open to part time applicants who are open to work 4 days on 28 hrs.
